November 17, 2016 Meeting Minutes

The bird club met at Shoney's for Thanksgiving Dinner.  No official votes were taken.
​The December meeting will be on 12/15, in our regular meeting room, for a Holiday Potluck.

October 27, 2016 Meeting Minutes
Meeting was called to order at 6:30 PM
  • The club's financial status was reported.
  • Membership count is 36
  • Next Bird Fair is March 18-19, 2017.  We will prepare a fair program modeled after the type the Atlanta Bird Club puts together.  Discussion about offering paid advertising in the program, more to be discussed on this.  Members will be exploring options for printing and assembly of the program.
  • Nominations were put forth for the yearly election of officers with voting taking place next month.

  • Discussion about a new logo for the bird club.  Members were asked to give this thought and submit a logo idea for consideration.  More to come on this.

September 28, 2016 Meeting Minutes
Meeting was called to order at 6:35 PM
  • The club's financial status was reported.
  • Membership count is 35
  • General discussion of the recent bird fair and issues identified that need to be addressed.
  • Richard Revis will offer wing clipping for birds for sale at the fair.
  • Discussion of how to handle the request from vendors who need trailer hookup at MTSU.  The school charges $15 for a hookup.   How will payment for this be handled? Discussion about adding a question to the online vendor application asking if a hookup is required.  This will be decided prior to the next fair in March, 2017.
  • Discussion about the size of the vendor space at the fair.   Remove reference to size of space on the website application.
  • Dr. Scott may be able to come on the Friday before the fair to do private bird care.

July 28, 2016 Meeting Minutes
Meeting was called to order at 6:35 PM
  • The club's financial status was reported.
  • Membership count is 31.
  • A vote passed to spend $350 on Facebook advertising for the September Bird Fair.  
  • Advertising will also be placed in the Tennessean newspaper.
  • 22 vendors signed on so far for the Sept fair.
  • Member were reminded about bringing silent auction items and food for the vendor supper.
  • The business meeting was adjourned at 7:25 PM

May 26, 2016 Meeting Minutes

The bird club met informally tonight to discuss club and bird fair related issues and to share insite on bird care, education and rescue. No official votes were taken.

April 28, 2016 Meeting Minutes

Meeting was called to order at 6:35 PM.
  • The club's financial status was reported.
  • Membership count is 34.
  • A vote was taken on doing a third bird fair in July.  Members voted no to this.
  • Fall Bird Fair to be held September 10 & 11.
  • Suggestion to change wording on the vendor application regarding vendor donations to the silent auction.
  • Vendor application for the Sept Fair will be set up on the website now.  A notice will be sent out to current vendors letting them know the application is available.
  • Discussed request from Sunnington Assited Living to have someone from the club visit the residents with their bird.  According to James, Melinda will follow up on the request.
  • The business meeting was adjourned at 7:45 PM.

February 25, 2016 Meeting Minutes

Meeting was called to order at 6:30 PM.
  • The club's financial status was reported.
  • Membership count is 30.
  • 70 spaces have been reserved for the March Bird Fair.
  • Members have been asked to contribute food to the vendor dinner.
  • Suggestion to add wording to the vendor application "All vendor applications are subject to final approval of the Bird Fair Chairperson".  
  • Vendors need to book rooms ASAP due to lack of rooms available in Murfreesboro area.
  • Reminder to members to bring a donation for the silent auction.
  • New fair rule:  All vendors must bring hand sanitizer to the fair and put it out on the table for customers.
  • The business meeting was adjourned at 7:35 PM.


January 28, 2016 Meeting Minutes

Meeting was called to order at 6:52 PM.
  • The club's financial status was reported.
  • 24 vendors have signed up so far and 68 tables have been reserved for the March Bird Fair.
  • A pet photographer will be at the fair this time.
  • Members have been asked to share the Facebook post for the Bird Fair everywhere.
  • Discussion about other types of vendors we should reach out to.
  • Melinda reported on hotels in the area she has researched for providing vendor accommodations. 
  • The business meeting was adjourned at 7:22 PM

October 22, 2015 Meeting Minutes

Meeting was called to order at 6:37 PM.
  • The club's financial status was reported.
  • Membership count is 38.
  • We need to plan for having more food for the vendors at the Spring Bird Fair.
  • A vote was passed to make Larry and Wilma lifetime members.
  • The November and December meetings will be held on the 3rd Thursdays, 11/19 and 12/17, because of the holidays.
  • Members are asked to bring a potluck dish to the November and December meetings so the group can have holiday dinner together for Thanksgiving and Christmas.
  • The annual election of Bird Club Officers and Board Members will take place in December. The list of nominees so far:

  • The business meeting was adjourned at 7:19 PM
  • Following the business meeting, the group watched the DVD, "Zootrition - Going Raw in the Avian Diet".

September 24, 2015 Meeting Minutes

Meeting was called to order at 6:30 PM.
  • The club's financial status was reported.
  • Membership count is 33.
  • The suggestion was put forth to create a Hospitality Committee with a chairperson (Richard Mosier?) and 2 or 3 members ( a few members volunteered).  The duties would involve arranging for light refreshments at the monthly meetings and organizing the food for the Bird Fair vendor dinner on Saturday night and breakfast on Sunday morning as well as setting up coffee for members and vendors at the fair.
  • Melinda will look into the Quality Inn as an option for vendor overnight accommodations.
  • A vote passed to secure a P.O. Box for returning mail-in H.O.T.A.S. member applications and renewals.
  • The suggestion was put forth to create a report card for vendors to give us feedback on their Bird Fair experience.  
  • The Zootrition DVD will be shown at next month's meeting.
  • Dates for the Spring 2016 Bird Fair are March 19 & 20.  Dr Scott will be there.
  • Meeting was adjourned at 7:18 PM

August 27, 2015 Meeting Minutes

Meeting was called to order at 6:38 PM.
  • The minutes of last month's meeting were read and accepted.
  • The club's financial status was reported.
  • Membership count is 30.
  • 68 vendor tables have been reserved to date.  Expecting more to sign up.
  • James reported on the Facebook advertising campaign that there have been more than 28,000 hits since it began.  He was authorized to increase the advertising amount by $50.00, if necessary, so the ad can be run through the Saturday of the show.
  • Everyone was asked to share the show info on their Facebook page and post to other sites.
  • Members were reminded to bring items for the Fair silent auction. 
  • Meeting was adjourned at 7:20 PM

July 23, 2015 Meeting Minutes

Meeting was called to order at 6:42 PM.
  • The minutes of last month's meeting were read and accepted.
  • The club's financial status was reported.
  • Discussion of membership numbers.  Current records show 26 members.  As there has been a problem with the membership database, it was decided that a notice will go out asking members to email Richard and let him know the date they joined or renewed. 
  • New membership cards will be ordered.
  • Newspaper ads for the September show will be placed for a cost of $219.72.
  • 9 vendor tables have been reserved to date with more to come.
  • James will begin the Facebook advertising campaign for the September show and run it through the weekend of the show.
  • Everyone was asked to share the show info on their Facebook page and post to other sites. 
  • The club will purchase 20 new signs and 3 or 4 new banners.
  • 7 educational videos will be ordered from AFA.  We will have them running throughout the show at the club table.  
  • One of the videos will be shown at the next monthly meeting.

June 25, 2015 Meeting Minutes

Meeting was called to order at 6:40 PM.
  • The club's financial status was reported.
  • Membership count is at 48 members.
  • Discussion of online vendor table/space application for September bird show.  The application will be available on the website in July and announced in the July newsletter. Suggested that vendor table/space rental be $50.00 each if paid for online up to a week prior to the start of the show.  After that, the cost will increase to $60 per table/space.
  • James called on the group for suggestions for additional vendors for the Sept. show.   He will reach out to the potential vendors.
  • The group watched the American Federation of Aviculture video presentation entitled "Avian First Aid".  Following the video, it was decided that additional videos be purchased from the AFA to show at future meetings.  The list of available videos was reviewed and selections made.  Marie will send for them.

May 28, 2015 Meeting Minutes
Meeting was called to order at 6:44 PM.
  • The club's financial status was reported.
  • Membership count is at 50 members.
  • 80 tables have been rented for the fall show.

April 23, 2015 Meeting Minutes
Meeting was called to order at 6:40 PM.
  • Minutes from the prior meeting were reviewed and accepted.
  • James reviewed the club's financial status.
  • An educational DVD will be shown at the next meeting.
  • 2 potential new members were introduced tonight.  They need to complete their applications.
  • The Vendor Table application has been created on the club website.  The payment system still needs to be activated.  Marie will get with Frannie to do this prior to the next fair so vendors can reserve space and pay online.
  • Vendors will be encouraged to pay online in advance of the fair to reserve space unless other arrangements are made with James.  The charge for a space reserved online will be $50.00.  It will be determined at the next meeting what the increased charge will be if the vendor does not pre-pay online.  
  • Online membership applications and renewals will also be available online in the near future.
  • The club will be checking further on signs and banners for the next fair and for ways to improve signage, cards and notices so the public can find the location easily.
  • Discussion on how often to send out email notices prior to the fair without sending out too much.  Further discussion needed.
  • Discussion on having a monkey petting zoo at the next fair.  Further discussion needed.

March 26, 2015 Meeting Minutes
Meeting was called to order at 6:34PM.
  • The group welcomed four new visitors to the meeting.
  • No new members since last meeting.
  • 21 new email addresses have been added to our email list for folks who signed up at the bird fair to receive our newsletter.
  • Frannie presented the financial report from the bird fair.
  • Discussion on where we should advertise the fair in the future.  Our Facebook pay-per-click ad that ran starting Feb 4, 2015 through the March fair dates generated 41,000 hits. Suggested that we should do this again for the September fair and that we should also advertise on other websites as well.
  • The next fair dates are September 12 & 13, 2015.
  • Marie will add the vendor application to the club website so vendors can reserve space and pay online prior to the event.  
  • Avian First Aid video will be shown at the meeting next month.  Next meeting date - 4/23/2015
  • It was agreed that the meeting minutes would be posted on the club website with a link to them from the monthly newsletter.
